The EU AI Act Is Not Just a Legal Issue

Most conversations about the EU AI Act start in the legal department. That is understandable. It is a regulation, and legal teams need to understand how it applies to the organisation, the systems being used, and the level of risk involved.

But for professional teams, the practical impact of the AI Act is not only legal. It is also operational, and that is the part most organisations are less prepared for.

For most professional teams, the important question is not only “what does the law say?” but “what does our workflow need to show?”

Compliance becomes workflow

A policy document is useful, but it does not prove that AI-assisted work was actually reviewed. A training session matters, but it does not show which sources were checked before a client memo was sent. A statement that “humans remain in control” is not the same as a record of who reviewed a specific output and approved it.

This is where AI governance becomes practical, turning into review steps, logging, sign-off, source checks, and escalation rules that shape how work moves through the organisation before it reaches a client, partner, regulator, investor, or decision-maker.

The legal requirement may depend on the type of AI system and the use case, but the operational direction is clear: organisations need to be able to explain how AI-assisted work was produced, reviewed, and approved.

Review needs to be visible

Many teams already review AI output informally. Someone reads the draft, checks the obvious mistakes, edits the wording, and decides whether it is ready. That may work for low-risk internal tasks, but it is not enough for client-facing or decision-critical work.

A better review process should be able to answer straightforward questions: what was reviewed and by whom, which sources supported the output, whether any risks, conflicts, or unsupported claims were flagged, and who gave final approval.

If those answers live only in someone’s memory, the process is fragile. If they are recorded as part of the workflow, the organisation has something it can rely on later.

Logging is not bureaucracy

Logging often sounds like a compliance burden, but in AI-assisted work it is basic quality control. If a client later asks where a claim came from, the team should be able to reconstruct the path from source material to AI output to human approval.

That does not mean every internal brainstorm needs a full audit trail, but where AI-assisted work influences important decisions or leaves the organisation, a record matters. Without it, the team is left with screenshots, chat histories, scattered notes, or best guesses.

Sign-off creates accountability

Human oversight is not just having a person nominally somewhere in the process. It means that person makes an active decision about the work: was it checked, was it approved, was it changed before delivery, and was anything flagged? Named reviewer sign-off turns that from an informal habit into an accountable step, and it matters as much for client trust as it does for compliance readiness.

The legal issue becomes a management issue

The EU AI Act may begin as a legal question, but it quickly becomes a set of management questions about how the team uses AI, which outputs carry risk, what needs review, who is allowed to approve AI-assisted work, and what records are kept. Those questions cannot be answered by legal language alone.

The Act is being phased in over several years. AI literacy obligations became applicable in February 2025, general-purpose AI rules began applying in August 2025, and 2 August 2026 is the date when the majority of the remaining rules start to apply. Organisations should follow qualified legal guidance as the rules develop.

The organisations that handle AI well will not be the ones with the longest policy documents. They will be the ones with processes their teams actually use: source checks, review steps, risk flags, and recorded approvals before work is delivered.
