Screenshots Are Not Governance

When teams start using AI more seriously, one of the first things they often do is collect evidence manually. A screenshot of a prompt. A copied answer in a document. A saved chat export. A note in a message thread saying someone checked the result. That may feel like a record, but it is not governance.

Screenshots can show that something happened. They rarely show the full process. They do not reliably show which sources were used, whether the answer was verified, whether unsupported claims were flagged, or who approved the final version before it was delivered. For low-risk work, that gap may not matter. For client-facing or decision-critical work, it does.

Scattered evidence creates scattered accountability

A screenshot is usually disconnected from the final output. It may sit in a folder, message thread, or ticketing system, entirely separate from the document it was supposed to support. That makes the review trail fragile. If a client later asks where a claim came from, the team may need to search through screenshots, chat histories, comments, emails, and old files to reconstruct what happened.

Even then, the picture may be incomplete. Who reviewed the answer? What source did they check? Was the final version changed after the screenshot was taken? Who approved it before delivery? Those questions are hard to answer when the evidence is scattered across personal tools and disconnected from the work itself.

Governance needs workflow, not fragments

Good AI governance does not come from collecting bits of proof after the fact. It comes from building review into the workflow itself. That means sources are recorded as part of the review, outputs are linked to the evidence they relied on, risks and unsupported claims are flagged in context, and reviewer sign-off is captured before the work leaves the team. A screenshot is a fragment of that process. A workflow is the record of it.

The record should be created as the work happens

The best audit trail is not assembled after the fact. It is created naturally as the team works, with each step captured in context rather than reconstructed from memory later. When AI-assisted work is important enough to reach a client, partner, regulator, or decision-maker, the organisation should not depend on someone remembering to take a screenshot. It should have a process that records what was reviewed, what was flagged, and who approved the final version as a matter of course. That is the difference between governance and good intentions.
